Custom management software

Custom Management Software: built around your business process

Custom management software removes the manual processes that off-the-shelf software does not cover. We build custom management systems for companies with specific processes, complex workflows or critical integrations that no shelf product can handle. Since 2007 AraLith, a software house in the province of Rome, has delivered every custom business management system with source code owned by the client, with no lock-in.

  • Modular management software development: we start from the most critical process without stopping the business
  • Historical data migration included in the project, not an extra
  • Source code and intellectual property stay yours: zero lock-in
  • Custom business process digitisation, with integrations to ERP, CRM and existing systems

At a glance

At a glance: what custom management software is and when you need it

Custom management software is an application developed specifically around the processes of a single company, unlike standard management systems that impose predefined workflows. It is the right choice when:

  • Off-the-shelf software covers only part of the real process and the rest is handled with Excel sheets or manual procedures
  • You need integrations with existing systems (accounting, CRM, e-commerce, machinery) that shelf products do not support
  • Your business processes are a competitive advantage to protect, not to standardise
  • Over the medium term, the cost of annual licences for standard software exceeds the cost of dedicated management software development
  • Business process digitisation requires specific automations not available in commercial products. Which process to start from is explained in the guide to digitising business processes

The result: a custom business management system that adapts to the way you work, not the other way round. We have been building them since 2007 as a software house in Rome and its province, also working remotely with companies across Italy.

How can you tell that standard management software is no longer enough?

The problem is not the software. It is that nobody built it around your process. If you recognise yourself in one of these situations, the real cost is not the licence: it is the hours lost every day.

The management system covers only part of the work

The rest lives outside: a separate spreadsheet, a second piece of software never integrated, notes someone copies out again. Every step outside the system is a point where data gets lost.

Nobody knows where a case stands

To answer a customer you have to ask three different people. The real state of the work is nowhere: it is in the head of whoever is doing it.

Every period close is a reconstruction

At the end of the month the figures are put back together by hand, cross-checking different files. The error does not show straight away: it is discovered downstream, when it has already reached the customer or the accountant.

What are the three questions that stall every management software project?

These questions are legitimate. We put them on the table at the first call, not halfway through the project, when it is too late to change course.

  • «Do we have to stop the business to do it?»

The business keeps working: we proceed in phases, starting from the most critical process, and often keep the old and the new system in parallel until the new one stands on its own. No wholesale switch from one day to the next.

  • «And what about ten years of data?»

It goes into the new system: historical data migration is part of the project and is estimated together with the rest, not an extra that appears at the bottom of the quote.

  • «Will we then be tied to you forever?»

The tie depends on you: source code, repository with the change history and technical documentation are yours. Any other developer can pick up the work: maintenance with us is a choice, not a constraint.

Is custom or standard management software the better choice?

It depends on the process, and the honest answer is not always «custom». The real comparison is not licence against project: it is the total cost over a few years, including the hours your people spend working around what the software does not do.

When standard software is the better choice

If the process fits a market standard and you have no particular integrations, a ready-made management system costs less and is the right choice. If that is your case, we tell you at the first call instead of selling you a project you do not need.

The method

How do you replace a management system without stopping the business?

You do not migrate everything at once. You start with one process at a time. Timelines are estimated after the mapping: before that they would be a promise, not a figure.

01

Technical call

Free and with no obligation

You tell us how you manage the process today and where you end up working by hand. You get an honest opinion on which of the two routes makes sense: custom or a ready-made management system.

02

Process mapping

Who does what, with which data, where it breaks

Roles and permissions, documents coming in and going out, integrations with existing systems, historical data to recover, regulatory constraints. You get the process map, and it stays yours even if the project does not go ahead.

03

Quote and choice of the first process

We decide together where to start

We identify the process that costs you the most hours or the most errors and start from there. You get an estimate of the hours by phase and the list of what pushes it up or down.

04

First release, in parallel

The rest of the business keeps working

The first module goes to the people who will use it every day while the other processes stay on the current system. Things are corrected in the field, when it is cheap to do so. No switch from one day to the next.

05

Extension, migration and delivery

The management system is genuinely yours

It is extended to the other processes, the historical data is brought in, and the people who will use it are trained. On delivery you receive the source code, repository and technical documentation: maintenance with us remains optional.

Experience

Which processes have we already built management systems for?

The process of a dental practice, described in the guide to the dental management software we built, and that of a road haulage company have nothing in common. They are mapped in the same way, though. The method is transferable. The technology adapts to the process, not the other way round.

  • Dental practices

Multi-practitioner scheduling, clinical records, invoicing and healthcare compliance obligations. A regulated domain, with sensitive data: here a mistake has legal consequences, not just commercial ones.

  • Corporate events

Attendees and RSVPs with statuses, hotels and rooms, travel, transfers, seating plans, bulk import and export. Built as the technical partner of an agency.

  • Patents and intellectual property

Management and consultation of patent and trademark portfolios: deadlines, searches and document archives that must remain accessible for decades.

  • ERP for large companies

Processes that cross several departments, with roles, authorisations and integrations with systems you do not control. The real complexity lies in the permissions, not in the screens.

  • Road haulage

Sector-specific invoicing, with the calculation rules and documents that freight transport carries with it and that no generic management system really handles.

  • Condominium administration and accounting

Management systems for condominium administrators, bookkeeping and general invoicing: administrative processes where an error spreads downstream for months before anyone sees it.

We have also taken two management systems all the way to multi-tenant SaaS products, with licence management and recurring billing: it is the same competence needed when a company wants to turn its internal management system into a product to sell. If your project is broader than a management system, see the custom software development page.

How much does custom management software cost?

There is no fixed price list. Every management system is different. There are, however, clear hourly rates by type of work: the only thing we can tell you with certainty before we know your process.

€50–180 / hour

Transparent rates by type of work · VAT excluded

  • €50–60 per hour · Execution on specifications already defined: front-end, templates, websites, routine maintenance
  • €65–85 per hour · Application development: management systems, web apps, standard integrations
  • €90–120 per hour · Qualified design and development: multi-tenant SaaS, critical integrations such as SdI and ERP, modernisation of legacy systems
  • €130–180 per hour · Advanced technical consulting: enterprise architecture, AI and agents, technical due diligence

The first technical call is free. What changes from project to project is how many hours are needed and at what level: they are estimated after the process mapping, before you spend a single euro. Rates valid until 31 December 2027.

What determines the hours

  • How many processes the management system has to cover: a single one or the entire business workflow
  • How many integrations are needed with the software you already use
  • How much historical data there is to migrate, and in what state: recovering it almost always takes longer than expected
  • How many users and how many roles with different permissions have to coexist
  • Regulatory constraints: electronic invoicing, health data, document retention
  • Whether smartphone access is needed or a desktop browser is enough

After the mapping you receive an estimate of the hours split by phase. If something comes up during the work that pushes it up, you know before it happens, not when the bill arrives.

Frequently asked questions about custom management software

Custom management software is software built around a company's specific process instead of the market average. It covers the real workflow, including the exceptions no standard software provides for, and integrates with the systems already in use.

It differs from standard management software on two points: the features follow the company's priorities instead of the vendor's roadmap, and the source code remains the client's property.

Custom management software is the better choice when the process is specific, when integrations with software already in use are needed or when there are regulatory and data constraints. If the process fits a market standard, a ready-made management system costs less and is the right choice.

The honest comparison is not licence against project, but total cost over a few years: fees, add-on modules and the hours staff spend working by hand around what the software does not do.

The hourly rate depends on the type of work: €50–60 per hour for execution on specifications already defined (front-end, templates, websites, maintenance), €65–85 per hour for application development (management systems, web apps, standard integrations), €90–120 per hour for qualified design and development (multi-tenant SaaS architectures, critical integrations such as SdI and ERP, legacy modernisation) and €130–180 per hour for advanced technical consulting (enterprise architecture, AI, due diligence). VAT excluded, rates valid until 31 December 2027. The total cost depends on how many hours are needed, estimated after the process mapping; the first technical call is free.

The hours vary with: how many processes the management system covers, how many integrations are needed, the amount and state of the historical data to migrate, the number of users and roles, regulatory constraints and the need for mobile access.

The time needed to replace a management system depends on the number of modules and integrations, and it is estimated after the mapping, never promised before. Work proceeds in phases: the first process goes into production while the others stay on the current system, so something usable arrives early.

Migrating to custom management software does not require stopping the business: work proceeds one process at a time, often keeping the old and the new system in parallel on the process being migrated, until the new one stands on its own. There is no switch from one day to the next.

The data in the management system you use today goes into the new system. Historical data migration is part of the project and is estimated together with the rest, not a cost that appears at the end. During the mapping phase we check what state it is in: it is the point that most often lengthens the timeline, so we look at it straight away.

The code of custom-developed management software belongs to the client. On delivery you receive the complete source code, the repository with the change history and the technical documentation, with full intellectual property.

There is no lock-in: any other developer can pick up the work, and maintenance with us remains a choice, not a constraint.
