Management software for condominium administrators

Condominium management software built around the way your firm works

AraLith, a software house in the province of Rome, active since 2007, develops management software for condominium administrators around your firm's real process: owner records and expense allocations, tracked payment reminders, meetings and a portal where residents consult their own documents. If standard software covers half the work and the rest lives in Excel, custom software covers the missing part.

The key points

In short: software for condominium administration firms

  • What we do: we develop software for condominium administrators around the firm's real process — owner records, expense allocations including special ones, payment reminders, meetings and a resident portal — not a standard package to adapt.
  • Who it is for: condominium administration firms where the industry software covers the accounting but the rest of the work lives in Excel, emails and scattered documents.
  • How: in phases, starting from the process that takes the most time; current tools stay active until each module has been tested, and historical data is migrated with verification.
  • Guarantees: source code, repository and documentation owned by the firm. No perpetual licence fee, no lock-in. We have been developing custom management systems since 2007.

Why is standard condominium software not enough for your firm?

  • Expense allocation lives in Excel

The software handles the accounting, but special allocations — revised ownership shares, extraordinary expenses, owners taking over mid-year — end up in a spreadsheet that only one person in the firm understands.

  • Reminders and notices by hand

Arrears checked one by one, letters prepared by hand, meeting notices laid out from scratch every time. It is repetitive work that software built on the firm's format can prepare, leaving the checking and sending to you.

  • The phone rings for every document

Every resident who wants a financial statement, a set of minutes or their payment status calls the firm. Without a portal where they can find it themselves, every request interrupts someone's work.

The modules

What do you get from custom condominium management software?

Not another system to learn: software that replicates the way your firm already works, removing the manual steps. The modules are built on your process; these are the typical ones for a condominium administration firm:

  • Owner records and allocations your way

Buildings, units, ownership share tables and allocations — including the special ones that live in Excel today — managed in the software, with ownership changes and balancing adjustments tracked.

  • Reminders and deadline calendar

Arrears visible by building and by unit, reminders prepared in your format and tracked, a calendar of obligations and maintenance with reminders for the firm.

  • Resident portal

Financial statements, minutes, regulations and payment status available online to every resident, with separate access for each unit: the documents are available without going through the firm's phone.

  • Meetings and documents

Meeting notices generated by the system, attendance sheets with proxies and calculated ownership shares, a document archive for each building with a complete, searchable history.

How do you move to custom condominium software without stopping the firm?

01

Free technical call

We understand how your firm works

Together we analyse your processes, volumes and current tools. If standard condominium software covers your case well, we tell you: custom software makes sense when the way you work is your advantage, not for routine accounting.

02

Discovery and a phased project

We start from the most critical process

We map the firm's workflows and define the phases: first the module that takes the most time today, then the rest. Current tools stay in use until each new module has been tested, so the firm keeps working during the transition.

03

Historical data migration

Owner records, accounting, documents

Years of Excel files and archives from the old software are mapped during discovery, imported into test copies and checked before the final switch. Migration is part of the project, not a problem left to the firm.

04

Delivery with code you own

Training and support included

Complete source code, Git repository and technical documentation belong to the firm: no perpetual licence fee, no ties to us. With training on how to use it, and evolutionary maintenance if you want it.

The proof: management systems built across different domains since 2007

Among the more than ten custom management systems we have built since 2007 there is also a management system for condominium administrators, alongside systems for invoicing, accounting, healthcare and event management. We also develop our own products, AraLith COS and AralithPulse, and that is concrete proof: those who maintain their own products know the real cost of technical choices.

Frequently asked questions from administrators

The cost of custom condominium management software depends on the hours of work, estimated during discovery based on the modules, the integrations (accounting, electronic invoicing) and the number of buildings managed. The hourly rate depends on the type of work: €50–60/hour for execution on defined specifications (front-end, templates, websites, maintenance), €65–85/hour for application development (management systems, web apps, standard integrations), €90–120/hour for qualified design and development (critical integrations such as Italy's Exchange System (SdI) and ERP, legacy modernisation) and €130–180/hour for advanced technical consulting. VAT excluded, rates valid until 31 December 2027. The initial technical call is free and the estimate of hours comes before the quote; the factors that change the hours are explained in the guide to development costs (in Italian).

If your firm works the way the industry software expects, the standard product costs less and is the right choice, and we tell you so at the first call. Custom software makes sense when your method is different: special allocations, your own approval workflows, integration with tools you already use, or a resident portal built the way you want it.

It is migrated methodically: mapping during discovery, import into test copies, checking balances and owner records before the final switch. The history of financial years, payments and documents is not lost — migration is an explicit item in the project.

Moving to custom management software does not stop the firm: we proceed in phases starting from the most critical process, and current tools stay operational until each new module has been tested. Switching “all at once” is exactly what we avoid in planning.

The firm is not tied to AraLith after delivery: the source code, the repository and the documentation are owned by the firm, and you can continue with us for evolutionary maintenance, rely on others or bring everything in-house. No perpetual licence fee, no lock-in.
